When are new students added to Alma?
New students are not immediately added to Alma. Until they are added, libraries should provide services to support students, especially when it comes to their needs with enrollment and other TCC business.
Answer
Alma runs the patron load for existing students and staff each night, but most NEW students are not loaded until the day after classes officially begin for the semester.
- Students may get a TCC student ID 24-48 hours after they enroll in classes once they are in SIS, even if they haven't paid tuition.
- Free prints are loaded after the tuition deadline.
If a student is listed in SIS as currently enrolled in classes but not yet showing in Alma, you can manually add them using the following process. This method is similar to how community patrons are added, with a few adjustments to ensure the account syncs correctly with SIS once the issue is resolved.
- Verify Enrollment
Confirm that the student is enrolled in SIS. - Select Patron Type
Choose "Student" as the patron type. - Set Expiration Date
Set the expiration date to the end of the current semester. - Assign Primary ID
Use the student’s myTCC username as their primary ID in Alma. - Enter EMPLID
Include the student’s EMPLID. This ensures that, once the patron load issue is resolved, their manually created account will be automatically updated by SIS. - Notify
Let Terri know once you've added a student in SIS. I’ll update the account type for each manually added record (based on a report) so the accounts will begin receiving SIS updates.
